Voting for 2025 Board Positions & General Meeting October 20th

Posted on October 7, 2024October 7, 2024 by Michael

ROSRC Members,

As a follow up to our previous communication, the General Membership Meeting will be held Sunday, October 20th at 5pm in the club pavilion. This is an important time for you to hear from our board regarding the state of our club – and to have us hear from you. We hope to see many of you as your participation is valuable to the success of our club.

There were four people who submitted their names to be on the ballot for open 2025 board positions. Attached is the formal ballot for you to cast your vote. There are two ways to submit your ballot:

1)    By Email: Ballot must be sent to/received by the Secretary ([email protected]) no later than 12 midnight on Saturday, October 19th

2)    In Person: If attending the General Meeting on October 20th, ballot may be submitted in person to the Secretary prior to commencement of the meeting being called to order

Remember: Only one vote per household membership is allowed, and only members in good standing with no outstanding balances owed can vote.

Once all ballots have been received, votes will be tabulated and reported to meeting attendees prior to the conclusion of the meeting. Thanks for your participation, and we look forward to seeing you on October 20th.

Posted on May 12, 2024May 12, 2024 by Michael

Dear ROSRC Members,

Today, we celebrate the remarkable women who have filled our lives with love, wisdom, and unwavering support. Whether it’s through biological bonds, chosen families, or maternal figures who’ve guided us along life’s journey, we honor their immeasurable impact.

On this special day, we extend our gratitude not just to mothers, but to all caregivers, nurturers, and mentors who selflessly give of themselves every day. We also acknowledge that Mother’s Day can be a complex time for some, recognizing those who may find today bittersweet or challenging.

To all the mothers, grandmothers, aunts, sisters, and mother figures—thank you for your endless devotion and the countless ways you’ve shaped our lives. Happy Mother’s Day!

The wait is over! We’re thrilled to announce that the pool is officially open for the season! Dust off your swimsuits, grab your towels, and get ready to make a splash. Whether you’re a serious swimmer, a casual floater, or just looking to soak up the sun, our pool offers the perfect escape from the summer heat. And if you’re not into swimming, don’t worry, because our tennis courts are also ready for action. So, gather your friends and family, and let’s make this summer one to remember! See you at the poolside!

This letter will cover:

  • Pool wristbands pickup and guest fees
  • PayPal Tips (in membership fee section)
  • Buildings & Ground – outstanding work & thank you
  • Social Event Dates – End of School Popsicles & Memorial Day
  • Meet the Board Members (so you know us in person)

Membership Wristbands

As we work to align our processes in partnership with our new pool company, we are implementing a wristband identification system. This common practice for large pool facilities like ours and will enable both our members and lifeguards to easily identify who is authorized to be in the pool area. This helps us improve security and reduce liability and will also reduce the need for paid gate monitors. Overview of the program:Members 6 years of age and older will be issued a numbered silicone wristband to be worn on the member’s person and easily seen at all times within the fenced pool area (5 and under do not require wristbands)Members can pick up their bands at the pavilion during specified times staring May 1stEnforcement of bands will begin the first day of lifeguards on May 22nd and remain in effect throughout the end of the pool seasonGuests will be provided a one-time use band that is valid for one day. Sets of guest bands can be purchased in advance from designated board members or purchased the day of the guest visit from lifeguards during “adult swim” time.Pavilion party non-member guests will also be provided a one-time use band for those events

Membership Fee Reminder
If you have not paid your first half of your membership dues, they are now late. A late fee may apply. Please make sure to quickly take care of this; please reach out if you have any trouble.

The remaining balance of $300 for the annual dues will be due by June 1, 2024. Also, for members with outstanding balances from 2023, settling those fees is necessary before key card activation.

TIPS if you are paying by PAYPAL:

  • The name is River Oak Swim and Racquet (No Club)
  • Please make sure you include the transaction fee in addition to your dues

You can explore more information about payment options by visiting our website under the payments tab.

As a friendly reminder, during the April 2023 general membership meeting, the amendment to the by-law concerning the timing of the workday assessment/credit was voted on and approved. Accordingly, the $50 workday assessment will now be paid by all members with the 1st installment of the annual dues each year. Members have the opportunity to receive a $50 credit upon completion of an approved workday activity. Important: The fulfillment of the $50 is due on your first installment, no exceptions. Towards the end of 2024, we will be handling the workday credits for those who request a refund.

In addition, it was communicated during the October general membership meeting that annual dues will be increasing from $550 to $600 in 2024 to address rising costs. With these changes, your first payment of $350 (comprising half of the annual dues, $300, plus the $50 workday assessment) is due by March 1st. This payment can be made via check or through our club’s PayPal account on the website. Please note that PayPal may assess a small fee. Thank you to everyone who has already submitted payment.

Buildings & Grounds

If any members have a playground set in good condition and no longer in use, please consider donating to the club.

Updates and announcements:

Pre-Opening Workday – the following work has been done to get the club ready to open.

  • On 4/13/24: the roof was blown off and the gutters were cleaned.
  • On 4/20/24: the brush was cleared near the Pavilion and behind the pool.  The perimeter around the pool was sprayed with weedkiller. The front steps and sidewalk in front of the building was pressured washed along with the pool deck by the high dive.  Plants were planted at the front of the property in front of the trees and on the island as you enter the parking lot.  Also, the drainage at the back left side of the pool was cleared in an effort to allow water to run off and not back up on the property.
  • On 4/26/24: the main Pavilion area was pressure washed as was the picnic tables and rails.
  • On 4/29/24: the pool deck from in front of the restrooms and to the right side of the kid pool was pressure washed.

Thank you to the following members who have volunteered to help get the club ready for the summer: Tom MacKenzie, Brian Meyer, Matthew Curtis, Don Summers, Alan Burton, Zack Bower, Roxanne Blake, John Blake, Ann Porter, Josh Howell, Brandy Howell, Mike Gant, Steve Harmon, Chana Coughlin and Kim Hooper.

Work still outstanding:
The remainder of the work needed at the club such as pressure washing the remainder of the pool deck, the sidewalks around the tennis courts and demo of the playset will be done if additional volunteers are willing to complete these tasks.

Front entry flooding – the county has cleaned out the pipe that runs under the entrance driveway.  DOT also pulled a ditch on both sides of the driveway, added rip rap round the pipe, hydro seeded the ditch & surrounding area and put up no parking signs in front of the club.  The no parking is to avoid damage to vehicles and to each ditch.

Please contact Sherri Fowler at [email protected] if you’d like to address the outstanding items.

The weather is warm, the pool is open, and tennis teams are preparing for the summer season. Please let your friends and neighbors know that we are actively seeking new members to join our community. We pay a referral fee to members of $100 for any family you send us who join. Or, you may authorize me to credit this fee to the new member to reduce their up-front costs.

A secondary arm of membership is to issue the key cards that you use to access the pool and bathrooms. So if any of you have lost or misplaced your key cards over the winter, please let me know. Replacement cards cost $10 each, cash or check.

We also have a limited number of key fobs available. These are small coin sized items, which can be easily attached to your keychain, etc.  As these fobs were more expensive to purchase, they can be purchased for $20, cash or check.

Pool Management Updates

Our long-time pool management company, Positively Pools, decided to discontinue their service to us in late 2023.  This sudden termination was unexpected as we had one year remaining on our contract, and had been in communications with them regarding expectations for a proposal for the 2025 season. Numerous attempts were made to contact PP for an explanation or opportunity to address their decision, but they were unwilling to discuss or provide a justifiable reason for cancellation.
Fortunately, thanks to the hard work of Dan Higgins, new Pool Chair, and Sonny Spratlin (who began the task of soliciting bids for the 2025 season early) the board had a number of proposals from new companies to consider filling the void left by PP.  A number of factors were considered, including cost, detail of proposal, as well as familiarity with our facilities and ultimately, Sweetwater Pool Management was selected for the upcoming 2024 season.  We are excited to partner with Sweetwater and ask that you be on the lookout for more details related to this transition in future newsletters.

Membership

As we are now firmly into 2024, it’s time to make plans for the summer. I am hoping for a warm, sunny spring.

I am looking forward to green trees and activities at our club.  If you know of any friends or neighbors who may be interested in joining our community, please let me know. We pay a referral fee of $100 to members for each household that joins. Or, you can authorize me to credit that fee to the new member to reduce their initial costs.
